Walmart Grocery Supplier Pallet Compliance 2026

CHEP requirements, GFSI fresh food standards, DC locations, organic pallet rules, and chargeback avoidance checklist.

Walmart's grocery division -- operating under Walmart Supercenter, Walmart Neighborhood Market, and Sam's Club banners -- has pallet compliance requirements that are stricter than Walmart's general merchandise program in several key areas. Fresh produce, refrigerated dairy, frozen food, and ambient grocery all have specific pallet grade, odor, contamination, and GFSI food safety standards that differ from the general Walmart supplier guide. This guide covers Walmart grocery pallet specifications in full, with DC location data for FL, GA, NJ, MD, and DE, and the compliance strategies that eliminate chargebacks for food suppliers.

CHEP Program Management for Walmart Grocery Suppliers

CHEP Account Setup

Open a CHEP account at chep.com. You will need your Walmart supplier number and target DC list. CHEP will set up depot locations near your facility for pallet pickup. Account setup typically takes 2-5 business days for approved suppliers.

Pallet Retrieval

CHEP pallets are retrieved from Walmart DCs by CHEP directly -- you are not responsible for pallet return from Walmart. You are responsible for returning empty CHEP pallets from your facility to CHEP depots if pallets come back to your location. Failure to return pallets results in lost pallet fees ($21-28 per pallet).

Invoice Reconciliation

CHEP invoices include issue fees, transfer fees, and lost pallet fees. Reconcile CHEP invoices monthly against your shipment records. Disputes about lost pallets must be filed within 90 days. Keep BOL copies and DC delivery confirmation records for every CHEP shipment.

CHEP vs Owned Pallets

If your Walmart volume is below the CHEP program minimum or if you ship only to Walmart DCs that accept owned pallets, owned Grade A GMA pallets at $9-15 each can be significantly cheaper than CHEP. For mixed customer bases, use CHEP for Walmart and owned pallets for all other customers. Florida Pallet Supply can supply the owned pallet side of your hybrid program.

Frequently Asked Questions

CHEP is required at the majority of Walmart grocery DCs, but requirements can vary by DC and product category. Some general merchandise categories at grocery DCs may accept owned pallets. The definitive answer for your specific product and DC combination is in the Walmart Supplier Requirements (available in the Retail Link portal) or from your Walmart buyer. When in doubt, using CHEP is always safe -- using owned pallets at a CHEP-mandatory DC will result in a chargeback.

Walmart requires GFSI-recognized certification for fresh food suppliers. The most common certifications accepted by Walmart are SQF (Safe Quality Food) Edition 9, BRC (British Retail Consortium) Global Standard Issue 9, and FSSC 22000. Walmart's supplier portal specifies the required certification level by product category -- fresh produce typically requires Level 2 or Level 3 SQF certification. GFSI certification audits pallet handling as part of the FSMA Sanitary Transportation assessment.

USDA National Organic Program (NOP) prohibits the use of methyl bromide (MB) treated pallets for certified organic product. CHEP pallets are heat-treated (not MB-treated) and therefore acceptable for organic product under NOP rules. However, you should verify that the specific CHEP pallets you receive at pickup have the HT (heat treatment) mark and not the MB mark -- while CHEP has phased out MB pallets, mixed inventory can occasionally appear in older depot stock. Florida Pallet Supply's pallet inventory is screened for MB stamps.

Chargeback disputes at Walmart are handled through the Retail Link portal under the Accounts Payable/Deductions section. You must submit a dispute within the window specified in your supplier agreement (typically 30-60 days from the deduction date). Supporting documentation should include: your BOL showing the shipment, photos of the pallet condition at loading (if available), CHEP account records showing pallet issuance, and any DC receiving notes. Disputes are evaluated by Walmart's supplier relations team. Preventing chargebacks through compliance is far more cost-effective than winning disputes after the fact.
